Onboard new team members

Invite new Business Unit (BU) members

ℹ️ You must be a Business Unit Owner or a Business Unit Manager to invite new members in your Business unit.

💡Use case: You are the Business Unit Owner (BUO), and want to invite a new member with the same permissions as yours to serve as a back-up in your absence.

As a Business Unit can only have one owner, the new member will get the Business Unit Manager role.

  • Go to the “Admin panel”

  • Click on “Members” on the left-side menu

  • Select a “Role” and enter the “Username or email” address

  • Click on “Send” to invite the new members

  • It is possible to see all your invitations (pending, accepted and revoked) on the page below, which also contains a search bar and a dedicated role filter.

ℹ️ You can invite new members even if they do not have a user account on YesWeHack.

They will receive an email notification prompting them to create a YesWeHack account with this email address. Once created, they will find the pending invitation on the platform.

Invite new program members

ℹ️ You must be a Business Unit Owner, a Business Unit Manager or a Program Manager to invite new members or hunters on your program(s).

💡Use cases

  • You have created a program and want to invite someone who will take full ownership of this program (e.g. an Application manager). Invite this member as a Program Manager.

  • You need to invite someone to review and update all reports within a program, without the ability to set rewards. Invite this person as a Program Auditor.

  • Go to the “Admin panel”

  • Select a “Program” of your Business Unit

  • Click on “Members” on the left-side menu

  • Select a “Role” and fill in “Username or email”

  • Click on “Send” to invite the new member

It is possible to see all your invitations (pending, accepted and revoked) on the page below, which also contains a search bar and a dedicated role filter.

ℹ️ This article focuses on team members. Learn more about how to select & invite hunters on your programs with the following resources:

Invite new report members

💡Use case: You want to give access to a specific report to a key stakeholder, such as your lead developer or a third-party you are working with. The other reports from the same program will not be displayed.

  • Go to the “Vulnerability center”

  • Open the "Report" you would like to share

  • Click on “Members management” in quick actions

  • Select the “Role”, fill in the “Username or email”

  • Click on "Send" to invite the new members

  • As for the Programs, it is possible to see all your invitations (pending, accepted and revoked) on the page below, which also contains a search bar and a dedicated role filter.

Invite the Triage team

For fully-managed programs, invite the in-house YesWehack triage team on your program to review incoming reports.

  • Go to the “Admin panel”

  • Select a “Program” of your Business Unit

  • Click on “Members” in the left-side menu

  • Click on “Invite YesWeHack triagers” and “invite triagers” to send an invitation to the group previously defined with your Customer success manager

Invite members in Bulk with invitation groups

It is possible to create invitation groups to streamline members' management, instead of inviting new members one by one. These groups are especially useful when you want to engage the same team members, or hunters, to several programs.

Groups configuration

ℹ️ You must be a Business Unit Owner or a Business Unit Manager to create a group.

  • Go to the “Admin panel”

  • Choose a “Business Unit” (BU)

  • Click on “Invitation groups” in the left-side menu

  • Click on “Create a group”

  • Fill in the “Members”' field by writing the usernames or emails of the people you would like to include in this group

  • The “+ Select Member” button is dedicated to inviting new hunters. Learn more about Hunters management here.

  • Your group is created. Now, let’s invite this group to a Business Unit or to a Program.

Invite a group to a program or a business unit

💡Now that your group has been created, you can invite it to the Business Unit or Program of your choice.

Your group can be made of new team members, hunters, or pentesters if you subscribed to our Pentest management solution.

The invitation workflow remains the same for each group type.

  • Go to the “Admin panel”

  • Select a “Program” or a “Business Unit”

  • Click on “Members” or “Pentesters” (only for pentest program) on the left-side menu or "Hunters" (only for private bug bounty program)

  • Click on “Invite members from group”

  • Choose the group and its role

  • Click on “Send” to invite the group

  • It is possible to see all your invitations (pending, accepted and revoked) on the page below, which also contains a search bar and a dedicated role filter.

Revoke members

You can cancel a pending invitation or revoke current members at any given time.

  • Go to the “Admin panel”

  • Select a “Program” or a “Business Unit”

  • Click on “Members”

  • Search for the name of the member you would like to revoke, or filter by role

  • Click on the “X” icon to cancel a pending invitation

  • Click on the “Bin” icon to remove a current member.

Manage your group(s)

ℹ️ You must be a Business Unit Owner or a Business Unit Manager to manage groups.

💡Use case: You created a group representing a specific team of your organisation. You would like to edit this group to add a new team member that recently joined.

⚠️ When you add new members to an existing group, the platform will send an invitation to all members in the group that are not yet in the program – including those who have been revoked in the past.

  • Go to the “Admin panel”

  • Choose a “Business Unit” (BU)

  • Click on “Invitation groups” in the left-side menu

  • Click on the right to “Edit” a group

  • Now, add or remove members in the group

  • Click on “UPDATE”

  • “Delete” the group if you need.

⚠️ When you delete a group from the “Invitation Groups” window, it won’t directly remove hunters (from this group) on your program.
